Overview
They had the data. They didn't have the full picture.
Spend lived in Snowflake and Tableau dashboards. Critical detail like supplier terms, contract language, negotiation context, all lived in PDFs and spreadsheets. Getting to a confident procurement decision meant stitching everything together manually, or submitting a BI request and waiting one to two weeks.
The result was a procurement org making high-stakes decisions with an incomplete picture, and a BI team buried under requests that shouldn't have required their involvement at all.
Challenge
Contract sprawl: With 20,000+ contracts across 11,000+ suppliers, redundancy was the norm. Consolidation was obviously necessary but nearly impossible to execute without a clear, unified view of the data.
The structured vs. unstructured gap: Tableau could show spend numbers. It couldn't read a contract. Critical details lived in unstructured documents that dashboards couldn't touch. Every confident decision required manual cross-referencing between systems.
Dashboard deluge: There were 150+ dashboards and roughly half of them were unused. When a new question arose, the answer wasn't "search the dashboard," it was "submit a ticket and wait," and simple follow-ups became 1–2 week loops through IT.
Solution
WisdomAI was rolled out in two phases: first replacing dashboard-driven work with conversational analysis, then scaling self-service across the full procurement organization.
Phase 1 (0–3 months): Within three months, the team retired 95% of BI dashboards. The reason it worked wasn't just the chat interface. it was that WisdomAI's Enterprise Context Layer could connect structured spend data with unstructured contract terms in a single workflow. For the first time, procurement could ask a question like "which suppliers have renewal clauses expiring this quarter with above-benchmark pricing?" and get a real answer, immediately.
Business users stopped waiting on dashboard updates and could simply start exploring questions live.
Phase 2 (3–6 months): Adoption grew 4x over the following three months. With enterprise context already in place, metrics defined, data sources federated, business logic mapped, onboarding new users was fast. Teams could ask better questions immediately and trust the answers they got.
Utilization jumped from roughly 20% with Tableau to 90% with WisdomAI, a reflection not just of adoption, but of an AI analyst that people actually found useful day to day.
The Results
The downstream impact was structural. With routine analysis automated and self-service unlocked, procurement teams could focus on the work that actually required judgment: negotiation strategy, supplier consolidation, and cost reduction.
The numbers tell the story:
$53M+ in projected spend optimization by year one.
12% of suppliers eliminated through consolidation.
8,320 hours of yearly time savings.
95% of dashboards retired.
Deployed to 200+ users in under a month.
